What they say about us
“I would highly recommend ICMSA to run your conference. Their team was highly organised and motivated for our recent meeting just over 500 people at the BCEC and we are going to use ICMSA for all our conference work from now on. We had a trouble free high quality meeting that both local and international delegates enjoyed. ICMSA also raised a significant amount of sponsorship for our meeting – more than 150% of what we originally had.”
Dr Dimitri Gerostamoulos
Head – Forensic Sciences & Chief Toxicologist
“It gives me great pleasure to provide this written reference for ICMS Australasia. A key factor in this outcome was the strong industry knowledge and assistance provided by our Professional Conference Organisers. This was a true partnership, beyond simply meeting the terms and conditions of our service agreement. ICMSA worked alongside us to ensure that our conference journey was enjoyable and the outcomes exceptional.”
Distinguished Professor Peter Corke
Professor of Robotic Vision Science and Engineering Faculty Program Chair | ICRA 2018
“ICMSA worked closely with our conference organising committee which held monthly meetings, as well as more regular meetings closer to the conference which helped us in working collaboratively to achieve a great Conference. In addition to being highly professional, Kate Stevens, Conference Director for ICMSA, and her team were always great to work with and responsive to the various requests we had of them. It was also great to have such a highly experienced team provide us with guidance and advice at key points to help ensure the conference was a success. This helped to make the whole process far less stressful for us. We were absolutely thrilled with the conference which attracted almost 700 delegates, and resulted in a small profit. The experience as a whole was achieved due to strong industry knowledge, accomplishing objectives that could not be done without the assistance of a Professional Conference Organiser. Dementia Australia would highly recommend the team at ICMSA to any other organisations seeking to hold a conference.”

Director, Centre for Dementia Learning Conference Organising Committee
“I thought it appropriate to write to offer our thanks and appreciation for all the great work the team is doing for both ASBA Vic and ASBA nationally on our 2020 and 2021 Conference planning. Often people are quick to offer criticism when things are not going so well but forget about the praise part when all is in order. ICMSA did a superb job in managing our state event and we are steaming ahead for our next two big events. My thanks to you and the team for your continued support of ASBA.”

“As the Event Manager in Charge of the IOC Delegation during the edition of the SportAccord Convention, I worked closely with the ICMSA team in the lead up and during the event. Thanks to their hard work, we were able to focus on our tasks in an efficient manner. They also helped us set up the crucial video conferences between the Winter International Federation and the two reporting 2026 Candidate Cities, which went extremely smoothly. All parties participating at these reports were highly satisfied with the technical outcome of the conferences, which were perfect.”

“ICMSA was the only PCO that really understood the uniqueness of the event. Led by Managing Director Emma Bowyer, the team was able to answer our questions about building arenas, network management, logistics, accommodation, security and many other details. Furthermore, the whole ICMSA team was clearly enthusiastic about tackling such an ambitious project. One of their stated missions is to support scientific and educational events, and this gave us confidence that they would not only do their job, but would be our partners in delivering an outstanding event”.

“As part of the Steering Committee for INTELEC 2017 I am so pleased our initial Committee chose ICMS Australasia. I have to take the time to thank you for making INTELEC 2017 the excellent event that it was. This was my 11th INTELEC and it was the most successful by far, this was furthermore acknowledged by our industry leaders at the Closing Ceremony thanking your team. Throughout the Conference, you went over and above for us and I appreciate the dedication to delivering the ultimate success. I have come to know the magnificent ICMS Australasia team and to be honest I’m a little emotional the journey is over. I hope that there are more memories to be made. As a Committee Member, I thank you again.”

“Please allow me to send a BIIIIG thank you to all of you for a fantastic SportAccord Convention 2019. I personally found the perfect mix of everything and the delegates have given great feedback. The festival also was well received and we will follow up on all shortly. I have sent a letter to the Minister and will do another one to the Mayor and hopefully, soon we will organise a little get together for the youth. I want to thank you all for your professionalism but above all the unique Aussie approach, hospitality, and I hope that our friendship will continue. I am looking forward to seeing you again soon either on the Gold Coast; you are always welcome in Bangkok.”

“Working together with ICMSA turned out to be essential to the success of the conference. Without this collaboration, there would have been so many things that would have been left undone, and so much that we would have not known how to do without them. All of this was done flawlessly, to our complete satisfaction.Feedback I received from many people indicated that it was the best-organized Computer Vision conference in memory. Working with ICMSA was positive in all respects.”

Fellow, Australian Academy of Science, Australian National University, Chair International Conference on Computer Vision (2013)
“The ICMSA team took the time to get to know us and understand our goals for DFTB18. Our conference relies on smooth AV, a wow factor, happy delegates and speakers, and being independent. Our Event Manager came up with suggestions on how to give the conference the edge we were looking for and implemented everything smoothly. The feedback on the conference was excellent and many people told us that it is the best conference they have ever been to. We will be returning to Australia for DFTB20 and we have reengaged the ICMSA team again to ensure another successful event.”

“It was only through the calm professionalism and skills of everyone at ICMSA that all problems were addressed and a wonderful meeting took place. The scientific program and social events were second to none. The safety of all participants was protected and despite the world pandemic the meeting was concluded and all participants agreed that this was a great success. I cannot thank the whole organization at ICMSA enough for all they have done to make this a most successful meeting in very difficult times. Their skills, professionalism and calm approach to all aspects of this meeting were exceptional. I strongly recommend ICMSA and their staff for anyone considering convening a meeting such as this and I would have no hesitation in working with them again for future meetings.”

“We interviewed a few different potential events organisers and checked their respective referees. From the beginning we were impressed by the enthusiasm of the ICMS team who had done their homework to ensure they understood our needs and our focus. They readily took on our determination to organise a conference that was ’not just another conference’ with the ‘same old format’, but instead reflected the enthusiasm that is part of our commitment to our area of medicine.”

“Recognising that a seamless delegate experience was integral to our success, Lili [ICMSA Creative Director] and her team took great initiative in brainstorming potential issues and troubleshooting technological aspects of the Conference well in advance. Timelines and budgets all involved a built-in buffer and were transparently communicated. During Conference week, they were always available and addressed all the issues, which arose quickly and efficiently. They always took the time to speak to us about any concerns we had, answer any questions, and were very flexible in accommodating even the most last minute requests. Beyond their incredible professionalism, efficiency and competence, Lili, Emma McPartlan, Emma Mogus and Jes worked with our organising team with such respect, generosity and good humour, that we always felt supported and able to find moments of levity in even the most difficult moments of the process. We really could not have asked for better partners to share this journey with!”

“I would just like to thank you and your team for all the great organising you put into the disability conference in Cairns last week. Everything was arranged perfectly and for me that meant no stress and a really great event. The flights and times were great. The accommodation was good and even the transfer bookings worked really well. You and your team were also incredibly friendly and helpful and most of all flexible. It was great to actually meet you at the conference.”

“Thank you so much for inviting me to this immensely successful conference. It has been so well thought through and the organisation has been perfect. I am delighted that the feedback to my talk has been positive. Please pass on our thanks to ICMSA and all their hard work (and patience) in getting me here!”

“I write to thank you for the huge effort which you put into making the Congress a triumph for us, for Sydney and for Australia. From the outset, you appreciated our objectives in seeking to host the Congress, as much more than a “rotational” event. It was not an easy journey, given the level of interaction which was required with the ICCA Secretariat and the level of anxiety which I and the organising team had in wishing to make the very most of this opportunity. Nevertheless you rose to the challenge and the feedback from delegates and stakeholders has been outstanding. We succeeded beyond what I had hoped would be possible due largely to your guidance, experience, dedication, and sheer hard work. We shall remain forever grateful to you.”

“It was an honour to host the 2019 edition of SportAccord in the beautiful city of the Gold Coast, Australia as it was very much appreciated by our delegates. We would like to take the opportunity to recognise ICMS Australasia for its contribution and active role in supporting the SportAccord 2019, as we had the pleasure of delivering the SportAccord and supporting the promotion of sport in Australia for its further development. Over the last year, SportAccord has had the pleasure of working closely with Suellen and many people who all played a crucial part in delivering a truly impressive event. As the 17th edition of the SportAccord is now complete, we have received much praise from delegates of SportAccord’s ability to deliver an exclusive opportunity to meet leading figures from the world of sport dedicated to the development of sport. Please accept my renewed thanks for your continued support.”
“Thank you so much Emma. We are very appreciative of the wonderful service and treatment given by you all throughout the entire process from organising the event to the daily operations. We were very impressed with all of your efforts to ensure us a smooth and successful experience all round so thank you again to each and every one of you. I look forward to any opportunities that may arise in the future to work with you all again.”

“I have been President of COSPAR for six and a half years, and during that time I have been responsible for three Assemblies. Each, in varying degrees of severity, experienced a disruptive external event. The worst of course was COSPAR-2016 in Istanbul, which was canceled due to a military coup. However, before the coup, the Assembly was a failure because terrorism in Europe and Turkey had reduced attendance to just a few hundred participants. COSPAR-2018 in Pasadena was an excellent in-person Assembly, but as often happens visa problems kept key participants from attending. And now we have COSPAR 2021 which was completely disrupted by an unexpected pandemic. As a matter of good business practice, we need to make our Assemblies more robust to inevitable disruptions from external circumstances. That means that in the future all Assemblies will have to be hybrid, or at least with the capability to be hybrid. I am grateful to Russell Boyce, chair of the Local Organizing Committee (COSPAR 2021), Iver Cairns, the Chair of the Program Committee, and their Professional Conference Organizer, ICMS Australasia, for having the courage and foresight to recognize that we must transition our Assemblies from what worked in a pre-pandemic world to the realities of a post-pandemic world.”

What this means to you
Organising a convention, be it in-person, virtual, or a combination of both, is challenging. As Australia’s oldest and most experienced professional conference organiser, ICMSA provides you with the peace of mind that we are here to share the journey with you.
With an average staff tenure of eight years – four times higher than the industry standard – we are with you every step of the way.
We guarantee that all staffing requirements necessary for a successful meeting will be met by full-time employed ICMSA personnel. We don’t claim to know everything about the industry you specialize in but what we do say is that we do convert your decisions to actions, we do provide consultation on best practice and innovations, and we will work hard to make your meeting the best it can be for your organisation, your attendees and your stakeholders.
